Q: My patient has an allergy where should I record this so other theatre users are aware

A: You should record this in your patients record as an Alert. Go to Patient Details and across the top click on the Alerts tab. When you click on this tab you will find a button becomes available in the left hand context menu called New Alert. Select this and then find the alert you want to attach to your patient. You will see there you can mark your alert as confidential. By selecting this it will be seen in the system but will not print out anywhere. In the same way you can also mark an alert as resolved. Once you have picked your alert you will then see an exclamation mark against your patient. When you hover over this you will see what is recorded against the alert.

Q: Some of my patients are still in black type on the list whilst others are blue why is this

A: The patients showing in Blue have an outcome attached to their event i.e Procedure Complete - any patients in black type are still awaiting an outcome

A: Quite often Word will drop the document down onto your tool bar at the bottom, especially if you have another Word document already open. Look on your tool bar and then click on the document and it will re-appear on your screen.

A: Double click on your patient and then go to the Theatre Management tab. You will see your tracking points listed on the right hand side. Double click on the one you want to change and you can then over type the new time you wish to record.

A: The list in the weekly setup has not been created or allocated to your Consultant. You will need to approach your Theatre Super User to ask for this list to be reallocated to your Consultant. Once this has happened you will see it in your diary.

A: In the first instance the system will always offer you the Consultant's elective diary in the first instance but on your tool bar at the top you can select a button to look at all emergency and trauma lists and indeed even swap to another Consultant's diary.

Q: I need to add more procedures but the Wizard only gives me the option of one

A: Underneath there is a free text line where you can add in more text. The best way is to add your patient to the list then double click on them. As soon as the Event opens up you will see 3 further places to pick more procedures.

Q: I need to add agency staff how do I do this and does this mean they have a username and password

A: To do this select the little button at the row of the role you wish to allocate them to. You will be presented by staff to pick from there, ensure you select All Staff in the first instance and double check they are not on the list. If they are not there choose New. You will be presented with a wizard to add your staff name onto, make sure you give them a Function and a Status and ideally a Speciality (If in doubt allocate then to Non Specific), then say OK. By doing this it will only allow you to allocate them to a function it will not give them a username or a password. If you wish them to be able to access the system you will need to refer this to your Super User to make sure this is done.

Q: How do I change the ward

A: You need to do this in the Inpatient event. When you are looking at the theatre screen you are looking at a surgical event to cover the time the patient is in theatre. You need to change the Inpatient event. To do this single click on your patient to highlight them, now pick Patient Details from the context menu on the left hand side. This will open your patientís home page. Look in the bottom box which is the Event box and find the Admission event. Double click on the Event to open it and change the ward there.

Q: My patients are all on the list for the same or wrong start time

A: The time on screen is worked out cumulatively from each procedure. You have not put in your average time into your procedures. Do this by going to File and My Common Procedures, find the procedure you have listed your patient for and by double clicking on the event you will find a place to put in the procedure average time. If you do have an average time, but you want to change it for an individual patient, double click on your patient and go to the Properties tab and change the procedure time there and this will then alter the procedure on screen

A: The ability to do this is rights driven, if you do not have an Add List or Add Patient button on the left hand side you either need to find someone with permissions to do this or ask your Super User to upgrade your rights, so in the left hand context menu you get the Add List or Add Patient button

A: In order to view your local drives you need to make sure it is enabled on your Remote desktop (RDP) Icon, right click on your RDP icon and select edit. Then select the local resources and click on the more radio button and check the drives check box. Finally you need to save these settings by going back to the General tab and click on Save.
